• Caller information: When a customer calls a ShopDesk-enabled phone number, we collect the caller's name and phone number as provided during the call for the purpose of scheduling appointments.
• Call recordings and transcripts: Calls handled by our AI receptionist may be recorded and transcribed to provide our service, improve accuracy, and resolve disputes. Callers are informed at the start of each call.
• Usage data: We collect information about how you interact with our platform, including pages visited, features used, and log data such as IP address and browser type.
• Calendar data: If you connect a Google Calendar or other calendar service, we access only the data necessary to check availability and book appointments on your behalf.

2. How We Use Your Information

• To provide, operate, and maintain the ShopDesk platform
• To send appointment confirmation and reminder SMS messages to customers who have provided consent during a call
• To send booking alerts and emergency notifications to shop owners and staff
• To improve our AI models and service quality using anonymized call data

3. SMS Messaging

ShopDesk sends SMS messages for appointment confirmations, reminders, and shop owner alerts. Message frequency varies based on booking activity. Message and data rates may apply.

Customers consent to receive SMS by providing their phone number during a call and verbally agreeing when the AI receptionist informs them a confirmation text will be sent. Shop owners and staff consent by entering their phone number during account setup and agreeing to these terms.

We do not share your phone number or personal information with third parties for marketing purposes.

4. Information Sharing

We do not sell, trade, or rent your personal information to third parties. We may share information with:

• Service providers: Trusted third parties that help us operate our platform (Twilio for phone and SMS, Vapi for call orchestration, Google for calendar integration, Railway for hosting). These providers are contractually bound to protect your information.

5. Data Retention

We retain call logs, transcripts, and booking records for up to 90 days by default. Shop owners may request deletion of their data at any time by contacting us. Anonymized, aggregated data may be retained longer for service improvement purposes.

We implement industry-standard technical and organizational measures to protect your information. However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security.

7. Third-Party Services

Our platform integrates with third-party services including Google Calendar, Twilio, and Vapi. These services have their own privacy policies, and we encourage you to review them. We are not responsible for the practices of third-party services.

8. Children's Privacy

ShopDesk is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us immediately.
